The Role:
The Senior Specialist, Distribution & Logistics - INT, is responsible for supporting logistics activities and projects for end-to-end INT delivery. In this role, the Senior Specialist must effectively respond to business needs while ensuring compliance with quality and regulatory requirements such as GDP/GMP, Cold Chain, and Trade Compliance. The Senior Specialist will be responsible for arranging and monitoring INT shipments from the Norwood manufacturing site to the end clinic around the globe. This role involves daily collaboration with the internal and external stakeholders to establish procedures, train team members, onboard new clinical sites, and escalate any INT-related issues or concerns to management. The Senior Specialist must understand and provide the required documentation, adhere to import/export regulations, possess knowledge of packaging engineering, and ensure accurate and complete processing of transactions in Moderna’s validated systems. INT distribution requires a high degree of attention to every detail of shipment preparation and execution as each shipment is unique to a patient and the activities need to be performed on a very tight timeline.
Here’s What You’ll Do:
Independently manage, optimize, and oversee the entire INT logistics process.
Utilize Veeva to support INT operations, including deviations, CAPAs, Change Controls and continuous improvements.
Monitor INT logistics operations, including transportation, customs, and customer service, which may occasionally require evening and weekend work.
Collaborate with designated couriers, IOR and QP/RP partners to streamline shipments to end clinics.
Work cross functionally with project managers, Supply Chain – Planning, Manufacturing, Digital, Logistics Engineers, Quality Assurance, Norwood Logistics, internal QPs, and other relevant parties to continuously improve the INT process.
Collaborate with INT couriers and IOR partners to develop and maintain lane SOPs and mappings.
Represent the Distribution & Logistics team in all INT specific meetings.
Oversee the internal shipping app tool to ensure all the necessary documentation and information are available for obtaining greenlight (“ready to ship”) from partners in advance and executing INT shipments.
Being able to pivot fearlessly and act with urgency to escalate issues to management when target shipping dates are at risk, as INT shipments are time sensitive.
Provide support as needed in preparing shipping documents, including commercial invoices, bills of lading, and submit them to INT couriers and IOR partners for review and approval.
Support the review of temperature data and conduct SAP transactions as necessary to complete the shipping process.
Monitor orders to ensure target ship dates are met.
Ensure compliance between Moderna and INT Service Providers based on agreed upon SOW.
Digitize where possible - Utilize Digital to optimize logistics procedures.
Measuring the performance of INT Service Providers including delivery performance, work quality and delivery lead-time.
Collaborate with the finance department to review and approve shipping invoices specific to INT.
Carry out monthly auditing of the ACE reports submitted by freight forwarders and carried of all export shipments from Moderna US and Moderna TX entities.
Support the business with ad-hoc tasks and projects to meet evolving business requirements.
Support end to end shipping concepts with GDP guidelines, including handling of goods, shipping validation and customs clearance.
Here’s What You’ll Bring to the Table:
Bachelor’s Degree with 5+ years of experience in Global Logistics and Project Management.
Preferred Bachelor’s degree in Supply Chain/Logistics or Business Management.
Strong preference for experience in international distribution within the Pharmaceutical and Biotech industries.
Experience working in a cGMP and cGDP environment with a solid understanding of the Pharma industry and Supply Chain.
Prior experience with personalized drug distribution is a significant plus.
Strong multitasking abilities, time management skills and a result driven mindset.
Problem solving skills and the ability to develop effective solutions.
Attention to detail and a focus on delivering high-quality work.
Thorough understanding and knowledge of international and domestic transportation operations, as well as import / export customs handling.
Strong work ethic with the ability to independently see tasks through to completion.
Excellent verbal and written communication skills.
Previous experience with SAP or a related ERP system is required.
Proficiency in SmartSheets and MS Office.
Previous experience with TMS or WMS in preferred.
